Message History Reports

In the Message History section, you can see all the items sent and received via SafeSend Exchange. These reports will contain the following.

  • The sender’s name or email.
  • The recipient’s email.
  • The name of all the files sent.
  • The date it was sent or received.
  • The Activity Log shows the last date and time the message was interacted with.
  • The status of the link:
    • Expired means the link has expired and can no longer be accessed.
    • Active means the link is still accessible and the recipient can view the message and download it.
  • The Transfer Mode is the authentication method used for that message.
Sent Items History

The Sent Items History is a record of all the messages sent by any member of the firm. 

Actions

  1. Click the Refresh icon to reload the report for the most up-to-date information. 
  2. Click the Manage Columns icon to re-order or remove columns. 
    • The sender column cannot be disabled. 
  3. Click the Download icon to download an Excel file containing the full Sent Items History report. 
  4. Click the Filter icon to apply filters to the report. 
  5. Right-click a line item to: 
    • Resend the access link to the recipient (if allowed by firm settings) OR
    • Cancel the transfer (the access link becomes invalid). 
  6. Click an Activity Log time stamp to view the events associated with the item. Each event includes the User Email, File Name, Activity date, and IP Address.

Received Items History 

Th Received Items History is a record of all the messages sent to your firm from external sources.

Actions

  1. Click the Refresh icon to reload the report for the most up-to-date information. 
  2. Click the Manage Columns icon to re-order or remove columns. 
    • The recipient(s) column cannot be disabled. 
  3. Click the Download icon to download an Excel file containing the full Received Items History report. 
  4. Click the Filter icon to apply filters to the report. 
  5. Click an Activity Log time stamp to view the events associated with the item. Each event includes the User Email, File Name, Activity date, and IP Address.

Document Requests

The Document Requests History is a report of the Document Requests sent by all users in the firm. 

Actions

  1. Click the Refresh icon to reload the report for the most up-to-date information. 
  2. Click the Activity Log time stamp to view the internal download history. 
  3. Click a document name under Documents Requested column to open all documents requested for the item.
  4. Click the Uploaded Files time stamp to view the events associated with the item. Each event includes each Document, File Name, and Uploaded Date.

Column Options and Filters 

On both the Sent and Received Items history you have an option to hide certain columns from view, re-order columns, and filter columns.

Column Options

  1. Click the Manage Columns icon. 
  2. Click the Eye icon to turn the column on or off. 
  3. Select a column to Drag/drop and re-order them. 
  4. Click Apply to save your changes.

Filters

You can set and save filters to modify the report and also save for later use.

  1. Click the Filter icon. 
  2. Click the Select drop-down to choose a saved filter OR
  3. Click the drop-down next to the column name to apply filters. 
  4. Click the Delete icon to delete a saved filter. 
  5. Click Save to save your current selection as a filter that can be used later OR 
  6. Click Apply to apply your current selection to the report.
